Equus Software Reimagines Global Mobility with nuvo

Mobility opportunities are essential for attracting, developing, and retaining talent for any business seeking global growth. As companies increasingly shift to short-term assignments, global mobility software providers face growing pressure to streamline operations, enhance customer experiences, and deliver scalable solutions that support global expansion.

Equus Software, the trusted global mobility technology partner for over 25 years, empowers companies to take control of their mobility programs. By unifying payroll, compliance, and vendor management in a single platform, Equus enables seamless operations and enhanced employee experiences across industries.

In response to the growing trend of shorter assignments, Equus recognized the need for efficient data integration to drive innovation and maintain a competitive edge. Partnering with nuvo was a pivotal step in this journey. Kraig Hallgren, Software Engineering Manager, highlights how nuvo’s Data Importer SDK has been instrumental in reinforcing Equus Software’s market leadership and enabling clients to achieve faster, more confident decision-making.

Rising short-term assignments in global mobility drive data surge

As globalization advances, Equus Software facilitates employee assignments across borders, supporting companies in decision-making from start to finish. In recent years, global mobility has shifted towards shorter assignments—typically lasting up to six months—rather than long-term relocations extending beyond five years, according to Kraig.

“This shift has resulted in a heavier workload for mobility coordinators, who now must simultaneously handle the planning, logistics, compliance, and costs of multiple short-term assignments. Add the complexity of managing data from various sources, and mobility coordinators have limited time for strategic initiatives,” Kraig explained.

Tracking expenses is particularly challenging. Mobility coordinators must accurately monitor each assignment’s estimated and actual costs to make informed decisions. However, messy data from various sources—such as vendor invoices and payroll details—often makes tracking cost estimates and actuals labor-intensive and time-consuming.

An in-house data importer created bottlenecks in expense tracking

Equus Software’s customers often operate offices in multiple locations, each processing payroll data in different formats. Initially, to use the Equus mobile workforce platform, they relied on an in-house import tool that only accepted data in a predefined CSV template, requiring mobility coordinators to reformat the data to meet the system’s requirements.

“After receiving payroll data from tax vendors once or twice a month via email, mobility coordinators had to reformat it, ensure account IDs were accurate and complete, and manually import the data. This process, often taking days, created a critical time burden for our users, highlighting the need for change,” Kraig recalled.

The rigid in-house CSV importer limited the number of people who could upload data into Equus’ system, as mobility coordinators had to be experts at manipulating the data. As a result, they were stuck with time-consuming tasks like data mapping, validation, and cleaning—instead of focusing on assessing assignment costs.

Moving beyond data wrangling with nuvo

Recognizing the impact of manual data importing on their operations, Equus’ management made streamlining this labor-intensive and time-consuming process a key priority. The initial market screening quickly moved nuvo to the top of the agenda, prompting various teams, with Kraig heading the effort, to explore its capabilities and return on investment (ROI).

Following a proof-of-concept demonstration, Kraig recommended implementing nuvo Data Importer SDK into their platform for several reasons:

  • Easily embeddable self-service data importer: Offering customers a smooth, self-service import experience with a user-friendly, white-labeled UI.
  • Support for various data formats and structures: Providing flexibility and scalability to meet evolving customer needs across industries.
  • Effortless error handling with an intuitive UI: Flagging and fixing errors during import, eliminating the need to revert to spreadsheets.
  • AI-enhanced automation for data cleaning: Ensuring consistency and accuracy of imported data through automated quality checks and AI.
  • Robust data privacy and compliance: Ensuring the protection of sensitive employee data through front-end processing and a self-hosting option.

With these unique capabilities, nuvo has shifted the data upload responsibility to the respective data owners. Instead of reformatting the entire file, mobility coordinators now only need to address critical issues that vendors couldn’t resolve, ensuring the data in the system is accurate, consistent, and ready to use.

“Vendors now simply log into our platform, interact with the integrated nuvo component, and easily upload their data in their preferred file format. With nuvo handling the heavy lifting, mobility coordinators are no longer involved in validating and cleaning incoming data, allowing them to focus on providing accurate compensation data,” Kraig concluded.

Fast data imports integrated into the Equus platform have made the system an essential part of the customers’ payroll processes, increasing its value and making customers more likely to continue using the service year after year. The value is clear—saving time, increasing customer satisfaction, and improving retention in the long run.
